The patient card: issuing, design and printing

A card with photo, QR and NFC chip — how it is issued, fields of your own and what is required, printing on a card printer, and a card lost or found.

Issuing a card

  1. Open Patient cards (the counter, reception or the admission desk) and find the patient under Give a patient a card — or + New patient for somebody new.
  2. For a patient with no card, the card’s form opens by itself, the Photo first.
  3. The photo, three ways: Use this computer’s camera (on the server’s own screen or at a secure https address); Use a phone’s camera — scan the QR on the screen with any staff phone on the hospital’s wifi, take the photo there and send it, and it appears on the screen by itself (the code lasts ten minutes; nothing is kept on the phone); or Choose a picture. Working on a phone, Take a photo opens its own camera.
  4. If the patient agrees, tick The patient agrees to show emergency details and write the conditions, regular medicines, whom to call and their phone; allergies come from the patient’s file.
  5. Fill in the hospital’s own fields; boxes marked * are required — the card is not issued without them.
  6. A PIN for the patient (4–6 digits) and the NFC chip if wanted: click the box and tap the card on the reader. If there is a card fee, take it, leave it due or waive it with a reason, then save.

The design, your own fields and what is required

The administrator sets the card’s design in Setup → Printing & cards; the sample beside it changes as you go.

  • Across or upright, the hospital’s colour and logo — or a designer’s picture for each side.
  • Fields of your own: up to ten (a membership number, a scheme, an employer), each on the front, on the back or Not printed; at most four fit on the card. Tick Required for those a card cannot be issued without.
  • A card cannot be issued without: the patient’s photo, and whom to call with their phone. Allergies, conditions and medicines stay optional, as they are shown only with the patient’s consent. A card already given is held to the same when it is edited.
  • If found, return to: the words above the hospital’s name, address and phone on the back (the address and phone come from the hospital’s details in Setup).

Printing on a card printer

The card is printed on both sides at the usual ID-card size (CR80, 85.6 × 54 mm), on a PVC card printer. Print the card opens the browser’s print box; the first time, set:

  1. Printer: the card printer. Paper size: CR80 (or 85.6 × 54 mm; 54 × 85.6 for the upright design).
  2. Margins: None; scale: 100% or actual size — not “fit to page”.
  3. Turn on Background graphics (under More settings), or the colours and bands do not print.
  4. Both sides: if the printer prints both sides, choose Print on both sides. If not, print page 1 (the front), turn the card over, and print page 2 (the back).
  5. Print once on plain paper first and hold it over a card to check.

Print the emergency sheet gives one A4 page for the patient to keep, Bangla and English together.

Lost or found

  • Lost: cancel the card with a reason — its QR, its chip and the patient’s open sessions open nothing any more. Then issue a new one; a lost card’s fee may differ.
  • Whoever finds a card sees the hospital’s name, address and phone on the back; scanning the QR shows the same, with a button to call — and nothing of the patient’s unless they agreed.

At any desk, tap the chip on a phone or scan the QR beside the patient search — or read it with a USB reader and press Enter — and the patient is chosen at once: the same patient and the same ID at every desk of the hospital.
