Duty rosters, levels and overtime
Rosters for doctors and any other role, the rules for what every shift must have, more than one doctor a shift, and duty on a day off as overtime.
The doctors’ roster
On Duty roster, each ward, the cabins of a floor and the emergency room is a post; the shifts are HR’s. Under a post’s Edit, say how many doctors each shift needs (one to five; one unless you say). + Another doctor adds another to any shift.
- Fill the week drafts each shift up to its number; nothing is written until you accept.
- Every doctor on duty is told of critical results, warning scores and red triage, and sees the post’s patients as their own.
Rosters for other roles
The administrator turns on a roster for nurses, housekeeping or any role: whose it is and who makes it (a nurse in-charge, say). Each post says how many people each shift needs. On a rostered day attendance goes by that shift, and the week prints for staff without the app.
Levels and rules
- Beside a roster, Levels and rules: write its levels, the most senior first (a senior staff nurse, a staff nurse).
- Under Every shift, write at least how many of each level; add a shift where it differs, such as fewer at night.
- Where a post needs its own (the ICU, say), tick This post has its own rule under its Edit.
- Each person’s level is given by HR (on the employee form) or the roster’s maker (People and their levels). Nobody given a level counts as the most junior.
- A senior may fill a junior’s place, unless the administrator turns that off.
- Fill the week fills the senior places first; a shift short of its rule is marked on screen and on paper. Somebody on approved leave does not count.
- Taking somebody off a shift that would then fall short is asked about first, and a leave request shows which shifts approving it would leave short.
Overtime duty
HR turns it on under HR → Attendance → Overtime, and chooses how it is made up unless chosen otherwise. Then any roster, the doctors’ included, asks before putting somebody on their weekly day off, a holiday or a second shift the same day, and the shift is marked Overtime.
- The same page lists each overtime duty of the month with the hours worked; for each, HR chooses Paid as overtime or A day off in lieu.
- Paid: the hours worked go into the month’s payslip as overtime, for whoever’s pay structure has overtime ticked, at the rate in the pay policy.
- A day off in lieu: each duty worked adds a day of the Day off in lieu kind of leave, taken like any other leave.
- Worked is read from the attendance punches; somebody with no attendance number is taken to have worked once the shift is over, unless the day is marked absent. A day off not worked stays a day off.
- Fill the week never puts anybody on their day off or on two shifts in a day: overtime is the roster maker’s choice.
